Purpose
Thank you for partnering with Faith & Fitness Network (A Hospitality Division of Christ Embassy Fulshear) for our Community Health Fair. Our goal is to provide health screenings, wellness resources and community support in a welcoming, safe, and organized environment.
This is our Vendor Participation Agreement outlines the expectations, set up guidelines, and event policies for all participating vendors to help ensure a successful event for everyone involved.
Vendor Expectations
As a participating vendor, you agree to:
- Arrive during the designated setup period from 10am to 1045am and have your booth ready before the event opens to attendees.
- Keep your booth attended, clean, and welcoming throughout the event.
- Provide products, services, or educational materials that are appropriate for a community health fair.
- Comply with all event guidelines and instructions from the event organizers and venue staff.
Arrival & Setup
- Vendors are expected to arrive during the designated setup period, 10:00 a.m. to 10:45 a.m.
- Upon arrival, all vendors must check in with the registration team before proceeding to their assigned booth space.
- Vendors are responsible for ensuring that their booths are fully set up, organized, and ready to receive attendees before the event opens.
- At 10:45 a.m., the Health Fair Planning Committee will conduct a final walkthrough to verify that all booths are properly set up and that safety requirements have been met.
- To ensure a smooth opening, all set-up activities must be completed by 10:45 a.m.
Booth Guidelines
- Vendors will be assigned a booth location by the event organizers ahead of the event
- Vendors are responsible for bringing their own chairs and tables, any additional supplies needed for their booth, including extension cords, power strips, table coverings, signage, promotional materials, and display equipment.
- Vendors requiring electricity should notify the planning committee in advance. Electrical access is subject to availability.
- Booth displays must remain within the assigned space and must not obstruct aisles, entrances, exits, or neighboring booths.
Vendor Responsibilities
Each vendor is solely responsible for:
- Ensuring that all their products, services, screenings, demonstrations, and information provided comply with all applicable laws, regulations, and professional standards.
- Obtaining any licenses, certifications, permits, or approvals required to provide their products or services.
- Providing and maintaining any consent forms, waivers, or release forms required for the products, services, screenings, or demonstrations they offer.
Event Policies
- Vendors are expected to remain for the duration of the event unless prior approval has been granted by the event organizers.
- Booth breakdown may begin only after the event has officially concluded.
- Vendors are responsible for the security of their own equipment, displays, merchandise, and personal belongings.
- Sales, demonstrations, and giveaways must be conducted professionally and in a manner that reflects the purpose and values of the Community Health Fair.
Facility Guidelines
As guests of the Irene Stern Fulshear Community Center, vendors agree to:
- Respect the facility and comply with all venue rules and regulations.
- Keep walkways, entrances, exits, and emergency access points clear at all times.
- Avoid attaching items to walls, doors, ceilings, floors, or other facility property in any manner that may cause damage.
- Remove all trash, materials, and equipment from the booth area before departure.
- Leave the assigned booth space clean and in the same condition in which it was received.
Liability and Damages
Faith & Fitness Network (A Hospitality Division of Christ Embassy Fulshear) and the Irene Stern Fulshear Community Center are not responsible for any loss, theft, damage, or injury involving vendor property, equipment, merchandise, or personal belongings.
Vendors participate in the Community Health Fair at their own risk and are solely responsible for the products, services, screenings, demonstrations, and information they provide.
Each vendor shall be responsible for any damage caused to the Irene Stern Fulshear Community Center, its furnishings, fixtures, equipment, or property as a result of the vendor's booth, displays, equipment, representatives, or activities. Any costs associated with repairing or replacing damaged property may be the responsibility of the vendor.
